Student Admin - Student Resume (Quick Entry)

Placing & Receiving Agency Related Guide (PARG RARG)

Summary: 
The student Resume must be uploaded to the documents section of the student profile. The resume may be needed for one placement request only, and should not be shared in advance with other destinations that do not require this information as part of the placement process. The resume will be visible to HSPnet users (Instructors, Course Leaders Receiving Coordinators and Destination Coordinators) who are specifically assigned to the request. Student names are not normally released in advance of a request being accepted and confirmed, therefore, there are controls in place to keep the resume hidden in sent/pending requests, even once uploaded.

Placing Coordinator (or student with advanced access):

  • Open the student profile
  • Go to the documents tab
  • Use the add icon to begin the resume upload 
  • Choose the file from your computer

  • Indicate Document type from the drop down list indicating:

    • "Student Resume – Anonymous" or
    • "Student Resume – named." Please avoid this scenario if possible. If an agency needs to interview the student, the placing coordinator could provide the contact information to the student so the student can arrange the interview.
    • Save the changes with the green check mark  Anonymous resumes will appear in the inbox of the receiving agency (under the student column, but not inside the Placement request details icon) when sent.  This is the last step needed if the resume is anonymous and the students do not have advanced access to HSPnet. If the students have advanced access and uploaded the document themselves, or the resume is named, please continue with the following steps.

If the students in your program have advanced access to HSPnet (this padlock icon ) … and if the student uploaded the resume themselves, then there is one more step!! (In other words, if your students do not have Advanced access to HSPnet, you will not see this icon or need to complete this step). On the documents tab of the student profile:

  • Click the icon  "Release Document to other HSPnet users."

If you have used a named resume, releasing the resume is done in the outbox after you have submitted your quick entry to your outbox.

  • Open the details icon of the request. 
  • Go to the Students tab
  • Click to remove the check mark in the box in front of: "hide student name."  This step is not necessary for anonymous resumes. If the receiving agency cannot find the anonymous resume, they should check directly in thein box under the "Student" column (not inside the details icon).


  • A warning message appears: Click "OK."

  • Select a reason from the drop down list explaining why the name is being released prior to acceptance and save the changes with the green check mark.

 

  • The student's name will now appear on this window and the receiving agency can view it.
