Student Admin - Student Resume (Cohorts)

Placing & Receiving Agency Related Guide (PARG RARG)

Summary: 
The student Resume must be uploaded to the shared documents section of the student profile (if it is to be shared at any point, otherwise upload under Internal Documents). The resume may be needed for one placement request only, and should not be shared in advance with other destinations that do not require this information as part of the placement process. When any request the student has been assigned to is accepted and confirmed, the resume will be visible to HSPnet users (Instructors, Course Leaders Receiving Coordinators and Destination Coordinators) who are specifically assigned to the request. Student names are not normally released in advance of a request being accepted and confirmed, therefore, there are controls in place to keep the resume hidden in sent/pending requests, even once uploaded.

Placing Coordinator (or a student with advanced access):

  • Open the student profile.
  • Select the documents tab.
  • Click the add icon to begin the resume upload

  • Choose the file from your computer
  • Indicate Document type from the drop down list indicating:
    • "Student Resume – Anonymous" (this will be visible to the receiving agency if the student is temporarily assigned)  

or:

    • "Student Resume – named." Please avoid this scenario if possible. If an agency needs to interview the student, the placing coordinator could provide the contact information to the student so the student can arrange the interview. The system will block this document from the receiving agency view until the placement request has been confirmed and the student assignment has been finalized or you complete the final step outlined below for a "named resume."

If the students have advanced access  … and if the student uploaded the resume there is one more step!! On the documents tab of the student profile:

  • Click the icon  "Release Document to other HSPnet users."

See steps below regarding selection of Anonymous or Named.

 

The student must be temporarily assigned to the request on the individual assignment worksheet
From Cohorts, use the "Go to" the Individual Assignment Worksheet 

  • Assign the student to a destination with the edit icon 
  • Select the student by clicking to place a check mark in the box to the left of the student's name and from the Action drop down list select: "Temporarily Assign Student." This option is available in the drop down for requests that have not been through the step: "Finalize assignment and release student name."

Locate the request in the outbox and open the details icon. 
If you selected student resume anonymous, you can send the request to the receiving agency. 

 

When the receiving agency opens the details icon of the request  and they go to the student tab, the receiving agency will see an icon with a paper clip indicating a student has been (temporarily) assigned. They need to click on the icon of the two people (not the paper clip) and then go to the documents tab.


The anonymous resume is available through the icon link (of the two people).

For a named resume if you must release the information prior to acceptance.
Go to the students tab

  1. Click to remove the check mark from the box in front of "hide Student name."
  2. Select a reason from the drop down list as to why the student's name is being released early. (screen capture on the right)
  3. Save the changes with the green check mark.

The receiving agency will see the name of the student and can access the resume as follows:

  1. If on the "student tab" of a Placement Request, Click on the student name; OR if using the Person Look up, click on the student profile.







  1. Go to the documents tab

  2. Open the link


Students with HSPnet access ( a user account) may have consented to release their e-mail address to the receiving agencies, otherwise even with a named document the receiving agency would need to contact the placing coordinator to arrange an interview with the student, as no contact information should be visible.
