HSPnet Roles and Their Responsibilities

Role

A role is one of the assigned identities in the HSPnet system along with the tasks and permissions associated with it, such as Student, Placing Coordinator, Receiving Coordinator, etc.

Note that there are several roles within HSPnet to which you may be assigned, either alone or in combination with other roles.

HSPnet Roles and Their Responsibilities

Content Author – An individual representing the organization that creates and maintains provincial templates for the Affiliation Agreement or Guideline modules.

Content Manager – A representative of a placing or receiving agency who applies Affiliation Agreements, Guideline Templates, and/or e-Orientation and/or adapts them for use at one or more Sites.

Course Leader – An instructor who has oversight or monitoring responsibilities for all students/instructors in one or more courses at a post-secondary institution.

Department Contact – An individual able to authorize new user accounts on behalf of their department; typically, a senior manager who may or may not be an HSPnet user. Note: May also be known as Coordinator.

Destination Coordinator (DC) – A manager or educator at a healthcare organization who receives requests, assigns responses, and follows up by organizing/assigning student supervision as required. If the Site is a user of HSPnet, the DC responds to requests redirected by the Receiving Coordinator (RC).

Discipline Contact – An individual who acts as the primary destination contact for placements in a specific Discipline and Sub-discipline, e.g., Pharmacy / Pharmacy Technician.

Group Instructor – A limited level of access for multiple instructors who share read-only access of schedules for instructor-led Groups (Group Shift Schedule). Users in this role cannot view any student information. Note: Only used by the University of Ottawa.

Inactive User – A user of HSPnet who has a user ID but who has not logged into HSPnet within the past 180 calendar days or whose user account has been disabled.

Instructor – Faculty of post-secondary institutions and staff of healthcare organizations who teach students studying in a health care field. Note: Each discipline may use a different term for this role, e.g., course leader or faculty liaison.

Lead Agency – A provincial representative who manages HSPnet within their province and who may sublicense the use of HSPnet to an agency in their province of which they approve.

Local Administrator – Individuals (either PCs or RCs) responsible for managing the HSPnet database within their department, including adding and modifying staff and student records and administering User accounts (including log in and password management).

  • PC Local Administrators manage the configuration of Courses, Terms, and Cohorts for their Programs within their Placing Agency.
  • RC Local Administrators manage the configuration of Sites, Services, and Destinations for their Receiving Agency.

Placing Coordinator (PC), Local Administrator Access – A Placing Agency representative acting in the role of practicum coordinator for one or more Programs, who manages the placement cycle and in addition is responsible for:

  • Managing the HSPnet database within their department, including adding and modifying staff and student records and administering User accounts (including log in and password management).
  • Managing the configuration of Courses, Terms, and Cohorts for their Programs within their Placing Agency.

Placing Coordinator (PC), Regular Access – A Placing Agency representative acting in the role of Practicum Coordinator for one or more Programs, who manages the Placement Cycle.

Receiving Coordinator (RC), Local Administrator Access – A Receiving Agency representative acting in the role of practicum coordinator for one or more Programs, who receives and coordinates incoming placement requests and in addition is responsible for:

  • Managing the HSPnet database within their department, including adding and modifying staff and student records and administering User accounts (including log in and password management).
  • Managing the configuration of Services and Destinations for their Destinations, Departments, and Sites within their Receiving Agency.

Receiving Coordinator (RC), Regular Access – A Receiving Agency representative who receives and coordinates incoming placement requests. The RC may redirect incoming requests to a Destination Coordinator (DC) for consideration or may reply directly on behalf of the Receiving Agency with a response of Accept or Decline by Agency.

Staff – An individual with a record who may or may not be a user in the system but who has a record in HSPnet and is associated with (employed or contracted by) a post-secondary institution (PSI) or healthcare organization (HCO) entered in HSPnet.

Student – An individual with a record who may or may not be a user in the system but who has a record in HSPnet and is enrolled in an educational program in a health care field at a post-secondary institution (PSI) and who requires placement at a healthcare organization (HCO) to complete the practical training component of their educational program. This may also include employees of an agency that uses HSPnet to track inter-agency employee placements and/or internal placements.

Student Administrator – A Program Assistant or other individual who manages student information including contact information, cohort/course enrollments, assignment to placements, and prerequisite information (immunizations, certifications, etc.).

Supervisor - The generic term for an individual who supervises a student in a Receiving Agency; each discipline may use a different term such as Preceptor or Clinical Instructor.

User – An individual who has been assigned a named user ID, role, and password in the HSPnet application.
