Accessing Student Consent
Placing Agency Related Guide (PARG)
Summary:
Consent from students is required for entering and tracking their personal information in HSPnet. Student consent is valid from the time the student record is added to HSPnet until the student is graduated from his or her cohort (indicating the end of the program in HSPnet), the consent is manually revoked directly in the Student Profile, or a period of six years elapses. Expiry of student consent due to user action (either graduating or manually revoking consent) is immediate. The student record will no longer be visible to any user in HSPnet once the action is submitted. If neither action is submitted, after a period of five and a half years, the student record will be marked as expiring soon (displaying in gray on screen and with a warning on the student profile).
Prior to July 22, 2019, student records with expired consent remained accessible, though with a warning of upcoming removal (displaying in gray on screen and with a warning on the student profile), for a house-keeping period of 180 days. This house-keeping period no longer applies. Consent expiry is now immediate upon user action (graduating or manually revoking consent), or upon six years elapsed since the original consent date. Student records added to HSPnet in the past and which have less than 180 days remaining will gain a one time extension, retaining their previously defined house-keeping period. Student records with consent dating less than five and a half years are subject to the revised policy on expiry, and will display the upcoming expiry warning after a period of five and a half years.
The consent form needs to be filled out and then signed by the student and kept at the school for the duration of the consent.
Do NOT send these forms to HSPnet.
