Placement Requests - Request Codes

Summary:
Some programs and disciplines may use a generic destination and enter a Request Code to specify an area of practice or case type that students will be exposed to. Request Codes may be defined by programs or standardized by discipline. If standardized request codes are defined, they may be specified in the Destination Profile to inform programs of availability of destinations offering these Request Codes or case types.

Entry of Request Codes by Programs - Placing Agencies.

 

Request Codes can be defined by a program for use in their own placements:

  1. Go to Maintenance > Setup/Lookup
  2. In the Placing Agency Setup section, click on Request Codes

3. Select the appropriate Department and Program in your access.

4.  Click the addadd icon to add a new code.

 

5.  Enter the name and short name of the code; you can also select an applicable population from the drop down list.

6.  Save this addition with the green check mark save icon.

 

Request Codes may be defined at the provincial level for all programs under a given sub-discipline, rather than program-by-program.

To enable a course to use request codes in a placement request, the course needs to have this set up:

  • Click: Maintenance/Setup/Lookup/Courses.
  • Click the Pencil icon to open the course Edit Entry screen.
  • Click to place a check mark in the box: Include Request Code list with Placement Request Forms.
  • Save the changes with the green check mark. save

Request Codes can then be selected in placement requests:

  1. Locate the placement in the Outbox
  2. Open the Placement Request Details screen by clicking the details (ibubble icon) icon
  3. Click on the Placement Information tab
  4. Select one or more pre-defined Request Codes by selecting them in the list
  5. Remove a previously selected Request Code by clicking it in the selected list

The Placing Coordinator can assign more than one request code to a single placement to show that multiple activities or case types are being requested on the placement. The Receiving Coordinator and the Destination Coordinator can also edit the request codes on a placement request: they can remove or add them.

Once Request Codes have been defined for a given discipline at the provincial level, they can be added to Destination Capacity Profiles to indicate availability of that area of practice.   1. Go to Maintenance > Setup/Lookup > Destinations
  2. Select the appropriate Site and Destination
  3. Open the Destination Profile by clicking the profile - data entered icon
  4. Go to the Capacity tab
  5. Add a new Capacity Profile by clicking the add icon or select the appropriate Discipline and edit the existing profile with the edit icon
  6. In the Capacity Profile wizard, when selecting a sub-discipline which can be accommodated on the destination, select one or more predefined Request Codes by selecting them in the list

Once entered on the Capacity Profile, any applicable Request Codes are viewable on the Destination Profile.

Entry of Request Codes when accepting a placement or offer (Receiving Agencies)

Receiving agency users can enter request codes on a placement request when accepting the placement, in the same manner as Placing Coordinators. This can be done either in the **Details **screen of the placement or in the Call for Offers window when creating an offer.

Placement Requests:

  • Open the details icon
  • Select the Placement Information Tab.
  • Click in the Request Code field.
  • Select a code/repeat to select more codes
  • Save the changes with the green check mark.

Placement Offers from a Call for Offers:

  • When you click the add icon to make offer from a Receiving Agency, you can click on the request code field adjacent to Request, to add as many request codes to the offer as you wish to make.
