Glossary - Staff/User Maintenance: User Roles
Definitions:
- A Staff Record is the entry of a last and first name field, as well as a role on HSPnet; the record may also contain contact information and title. The staff record is NOT a user account.
- A User Account: is a user ID created and issued from the user key icon associated with a staff record. User accounts for placing agencies contain access to departments and programs. User accounts for Receiving Agencies include access to departments, disciplines, sites, services, destinations.
- A Local Administrator is a user account with a higher level of administrative tools, granted by the HSPnet support team after completion of PC or RC training.
Glossary (GLRY)
Local Administrator: (PC and RC): The local administrator is responsible for managing the database within their department. PC Local Administrators update the configuration of courses, sessions, and cohorts for Placing Agencies. RC local administrators manage site contents: services, and destinations for Receiving Agencies. All local administrators manage staff records and user accounts (including user access rights) when it is necessary to add, modify and archive their information. The local administrator provides assistance to the users in their department(s) with all aspects related to logging into the system and updating passwords.
Placing Coordinator (PC) - A Placing Agency representative acting in the role of practicum coordinator for one or more Programs, who sends placements requests to the receiving agency and ultimately confirms accepted requests.
Receiving Coordinator (RC) - A Receiving Agency representative who receives and coordinates incoming placement requests. The RC may redirect incoming requests to a Destination Coordinator for consideration, or may reply directly on behalf of the Receiving Agency with a response of Accept or Decline by Agency. This position is also called the Service Contact.
Destination Coordinator (DC) – A destination manager or educator who receives redirected requests from the RC, and assigns a preliminary response of Accept or Decline by Destination and organizes/assigns student supervision when required.
Supervisor - The generic term for an individual who supervises a student in a Receiving Agency; each discipline may use a different term such as Preceptor or Clinical Instructor.
Instructor (Instr) – Includes faculty and staff in roles such as instructor, course leader, or faculty liaison. Staff with this role will be included in the Instructor assignment dropdown. If staff in this role are also given a user ID, they will have read-only access to placements assigned to them in the instructor role.
Course Leader: An Instructor with oversight or monitoring responsibilities for all students/instructors in one or more courses.
Group Instructor (GrpInstr) – A limited level of access for multiple instructors who share read-only access of schedules for instructor-led Groups (Group Shift Schedule). Users in this role cannot view any student information.
Student Administrator (StdAdmin) – A Program Assistant or other individual who manages student information including contact information, cohort/course enrollments, assignment to placements, and prerequisite information (immunizations, certifications, etc.)
Staff Administrator (StfAdmin) – HR assistant or other individual who manages staff information including contact information, destination assignment, staff profiles, preceptor schedules, etc.)
Content Author (AAA, GLA) – An individual representing the organization that creates and maintains provincial templates for the Affiliation Agreement or Guideline modules.
Content Manager (AAM, GLM) – A representative for a health authority or receiving site who applies Affiliation Agreement or Guideline Templates and/or adapts them for use at one or more sites.
Department Contact -An Individual who may authorize new user accounts on behalf of his/her department; typically a senior manager and may or may not be an HSPnet user.
Discipline Contact - The individual who acts as the primary contact for placements in a specific Discipline and Sub-discipline (e.g. Pharmacy / Pharmacy Technician). For placements in that Sub-discipline, the Discipline Contact will be displayed in the Details screen (along with the Destination Coordinator), and the Discipline Contact alone will appear in printed forms and schedules.
NOTE - Discipline Contacts are setup in the Destination Profile under "Other Contacts", and not in Staff Maintenance.
