This bulletin highlights important information about an upcoming enhancement for PC and RC Users. HSPnet/COVID-19 Updates are distributed to Placing and Receiving Coordinators, and the National Alliance. Please share this information with Instructors and Destination Coordinators, as appropriate. Information bulletins are posted and archived in the Knowledge Base COVID-19 Toolkit and are available to all Users of HSPnet. Continue to check the Knowledge Base for 'Recent Updates' to HSPnet features and functionality Reference Guides.
Rescheduling Postponed Placements
Enhancement Rationale
Currently when a placement is Postponed, dates are changed to the future, and a tag is added to mark the change; however, the Status of the placement in HSPnet is not changed. Postponed placements need to be coordinated with the Receiving Site: capacity and schedules have to be arranged to resolve conflicts, Destinations Coordinators have to be made aware, and Preceptor availability must be confirmed. Therefore, it is necessary and appropriate that Postponed placements revert to the Pending Status and require to be Accepted and Confirmed again.#
Enhancement Highlights-
- When the Postpone, Partially Cancel, or Suspend Placement action is submitted, a check-box for Resubmit placement for consideration (Status will revert to Pending for the Site) is displayed.
- - This option defaults to enabled when:
- - the Start Date of the placement is updated to a future date (Postpone tag is added),
and-and - the Service is a User of HSPnet,
and-and - the current Status is not New or Sent (it has already been Redirected and/or Accepted, or Confirmed).
- - When enabled, a Warning is displayed in red:
- - As this placement is already Redirected or Accepted and it is being Postponed to a future date, the Status will change to Reactivated and it will need to be Accepted again.
- If the check-box is disabled when the Start Date is changed (Postpone tag is added), a pop-up Warning in red prompts for confirmation from the User submitting the change:
- - A Postponed placement to a Site using HSPnet should be Accepted again by the Receiving Site and Destination. Are you sure you have the agreement of the Site to maintain the current Status?
- - When the action is submitted with the check-box enabled, in addition to updating the dates and tags of the placement, the Status changes to Reactivated.
Additional Updates & Notes-
- Assigned Preceptor will be removed from the Reactivated placement. Previously assigned Preceptor(s) are located in the History tab.
- - The Reactivated placement will appear in the Inbox and Welcome Screen of the Receiving and Destination Coordinator as a new Pending placement.
- - Destination Coordinators will receive an email notification consistent with Receiving Coordinators about Postponed, Suspended and Partially Completed (Cancelled) placements.
- - The Reactivated placement can be Redirected, Accepted, and Confirmed again as for a new Pending placement.
- - The action can optionally be submitted on all statuses, including Canceled or Declined placements that are being moved to different dates for new consideration.
