HSPnet/COVID-19 News is distributed to Placing and Receiving Coordinators, and the National Alliance. We encourage PCs and RCs to share this information with Instructors and Destination Coordinators if you feel it is useful and relevant. All Users of HSPnet can find News and other bulletins posted in the COVID-19 Toolkit located in the HSPnet Knowledge Base. Continue to check the Knowledge Base for 'Recent Updates' to feature and functionality Reference Guides.
Yearend reporting on provincial and national activity indicators was postponed by 1-month to support data recovery and ongoing changes still occurring as a result of COVID-19, especially those related to tracking placements and changes to accepted/confirmed placement requests. The month of April provided HSPnet Users an opportunity to improve the quality of their placement data to March 31, and onwards. Annual work including HSPnet data review will resume to support yearend reporting and routine auditing for privacy and security policy breaches.

NEW Site Closures: Receiving Agency Profiles
Receiving Coordinators can enter a Site Closure due to COVID-19 (On-Site Hazard/Event) on any of the Agency, Site or Destination Profiles. During an outbreak, it is difficult to know when a Site will reopen; however, an end date for the Site Closure is required. To provide end date flexibility, a modification has been made to the Site Closure option in the drop down menu: On-site Hazard/Event (end date may change) allowing RCs to arbitrarily select an end date and delete the Site Closure at a future date.- On each Destination Profile, the RC can indicate specific Students or Programs (e.g., NP, midwife) allowed on-site during the Closure.- A Site Closure will universally apply to the same Students if entered in the Agency or Site Profiles; the Site Closure will automatically be applied to Site and/or Destination Profiles if entered at the Agency or Site level.Best Practice: Closing Sites with Active Placements or Accepted/Confirmed PRs- The Receiving Agency informs PCs with active placements or PRs at the Sites or Destinations affected by the Closure and assists the school with relocating active placements. PCs are notified prior to closure, or when the Site Closure is entered.- PCs can run a Destination Closure Report, if they are aware of an outbreak, to monitor for Site Closures. Follow these steps to Access the Report:1. Go to the Reporting/Report Menu1. Select the tab Setup and Profiles1. Select the sub-link Destination Closure Reports1. Select an Agency from the drop down list1. Select a Site from the drop down list, when it appears1. NEW HSPnet Training Videos for Student Users
We are pleased to announce the development of HSPnet training videos for Student Users. Student training videos are available in the Student Knowledge Base Lite and the standard Knowledge Base. Students can also access these videos from the Messages tab in their HSPnet User account, or, via an off-site link where they can watch the First Time Login / Password video before logging into the system.

NEW Notification and Reporting Additions
PCs, RCs, and DCs (DC advanced view) can now filter their Inbox/Outbox to view placements with specific tags, including partially cancelled, postponed or suspended. These tags are also listed in the Report on Schedule Changes available in the Inbox/Outbox and the Security/Access Listing Report Wizard. Refer to: Tracking Partially Cancelled, Postponed, and Suspended Placements Reference Guide for more information.

NEW Knowledge Base Light Bulbs: for PCs
Have you noticed the light bulbs on the Cohort Maintenance page? These light bulbs provide a direct link to Cohort training videos in the new PC Training Series located in the Knowledge Base. The next time you are on the Cohort Maintenance page, move your mouse over the light bulbs to see what 'pops up' and 'click' a light bulb to go to the training video.

Upcoming Enhancements- Welcome Screen Notification about Site Closures when Sites have Active placements or Accepted/Confirmed PRs.- Reschedule placements: resubmit a placement that was Postponed, partially completed (Cancelled) or Suspended to reactivate the PR. PR Status reverts to Pending for the Site and can be Redirected, Accepted, Declined and Confirmed. Email, Welcome Screen, and Inbox/Box alerts and notifications for PC/RC/DC Users.- PCs can track all forms in the Student Profile for compliance with placement requirements. Forms can be edited Cohort by Cohort directly from Enrollment. This is useful where a Public Health Single-Site Order release form is tracked, but it could be relevant for other instances of tracking COVID-19 related precautions.
National News and Updates- Provinces are preparing to welcome students back into clinical placements. Most provinces will apply a gradual approach, starting with specific disciplines and program years.- Provinces are working on various strategies to ensure that students in their graduating year may still graduate on time.- There has been a focus, across Canada, on Simulation and Virtual Practice to supplement or replace the clinical practice experience required to achieve the necessary learning outcomes.- Some provinces have initiatives in place that support paid student placement positions and student volunteers, in clinical roles.- Trudeau Announces Financial Support for Students.
