Display of split placements in the Student Site Selector

Update: April 19, 2024

Students accessing the Site Selector to enter preferences for placements will no longer be limited to seeing only the parent placement in the split and instead see all components of the split placement, with each component displaying corresponding details (information about the site, service, and destination, profiles, dates, schedules, and documents.


Display of Prerequisites and Documents on Destination Profiles

Update: October 11, 2023

Documents and Prerequisites uploaded on destination profiles can now be sorted and organized by section.


Unsplitting option in Advanced Schedule

Update: January 9, 2023

An option for separating a split placement into distinct placements for assignment purposes is now available in the Advanced Schedule. This allows changing a merged set of placements back into separate placements, to which different students are intended to be assigned. This feature is described in the Placement Requests - Splitting, Linking and Merging Requests and Advanced Schedule guides.


Tracking Site Requirements Met on Quick Entry Placements

Update: June 3, 2022

Placing Coordinators using the Quick Entry feature to manage their placements can now update the Site Requirements Met status for their students. For more information, refer to the reference guide in the Knowledge Base.



Tracking Returning Students on Guest Access Placements

Update: May 13, 2022

For Receiving Coordinators sending Guest Access invitations to non-user programs, the entry of a returning student's existing HSPnet ID in the Quick Entry Screen (prior to the invitation being sent) will allow that student record to be reused with the same HSPnet ID on the resulting Guest Access placement entry.



Options to upload Clinical ID Cards and Workplace Insurance Coverage

Entry of these student prerequisites with upload is now possible with the Prerequisites Upload - Safety and Security Automated Student Upload template.



Additional Course Leader user access settings

Update: March 21, 2022

For programs giving access to Course Leaders as users of HSPnet, settings are now available to restrict these users from viewing staff profiles or changing filters to future terms.



Tracking Clinical ID Card option on student records in Enrollment Worksheet

Update: March 4, 2022

An screen mode has been added to the Enrollment Worksheet to allow mass review or update of Clinical ID card status on student records.



Tracking of Covid-19 Vaccination third dose

Update: January 7, 2022

The feature for tracking Covid-19 vaccination status on student and instructor profiles under the Prerequisites tab has been updated to allow entry of a third date for administration of third or booster doses.



Receiving Agency IT Provisioning tracking and Withholding Contact Information from students

Update: November 22, 2021

Placing agencies tracking RA IT Provisioning details on student profiles now have access to an Enrollment screen mode to review and edit these details on a per-cohort basis.

The feature allowing placing and receiving agencies to restrict the student view to specific contacts (Destination Coordinator, Instructor, Supervisor) has been updated to allow setting a time period of less than 14 days prior to the placement start date. Refer to the Knowledge Base guide for more information.



Covid-19 Automated Student Immunization Uploads

Update: October 15, 2021

An upload template permitting the upload of Covid-19 vaccination status on HSPnet student profiles has been added. Refer to the guide in the HSPnet Knowledge Base for details on how to proceed.



Changes to Automatic Conflict Flagging

Update: June 6, 2021

The process for automatically flagging conflicts for programs which participate in regional coordination of placements in HSPnet has been updated. Conflict icons will continue to appear in the Outbox and Inbox for placements with shifts scheduled at the same time as other placements. However, New placements created by the Placing Agency will not generate Conflict Flags on placements which are already Sent to the Receiving Agency. For Receiving Coordinators, this means that conflict alerts should no longer appear on placements in their Inbox when a conflicting New placement which is not visible to them is created. For Placing Coordinators, the existing process remains in effect: conflicts on New placements must be resolved prior to the request being sent, and the action is Sending placement requests with conflicts is not allowed.

New alerts for Receiving Agency Profile changes and new history section on student profiles

The Welcome screen for placing agencies now displays new categories in the Changes/Alerts from Other Agencies section. Alerts appear whenever the profile of the receiving agency, site, or destination of one or more active placements has been updated. This allows placing coordinators to be alerted when changes such as new document uploads or prerequisite changes occur on the profiles relevant for their placements.

On the Student Profile, a new section in the History tab displays the list of changes of student assignment, in order to track placements the student has been assigned to or unassigned from.



COVID-19 Vaccine Tracking

Update: January 18, 2021

The Occupational Health section of the Student Profile has been updated to allow tracking the administration of the COVID-19 vaccine. This consists of a Status (immunized or not) along with dates of administration for two doses. Additional details regarding the vaccine may be entered on the Immunization Notes section. In accordance with HSPnet Policies relating to the tracking of student Personal Information, this Status is managed and viewable only by the Placing Agency.

As with other immunizations and occupational health requirements, HSPnet provides an option for tracking that overall placement requirements have been met, and to release that Status to the Receiving Agency either directly on screen on the Student Profile, or via the Security/Access Listing Report.  



Default value for student Expected End Date

Update: January 6, 2021

A student's expected end date of program may be entered on the student profile for administrative purposes, but this field is optional. For agencies accessing student information for IT provisioning, the expected end date may be useful for planning the access and deactivation of student accounts, and is accessible both to Receiving Coordinators on the student profile and in the Security/Access Listing web API. Since many programs do not populate this field on student records, HSPnet will now calculate an estimated value, based on the student's current placement date and program year, and overall program duration. This estimate appears as a default value if not specific program end date is entered by the program on the student's profile.



Release of Student Phone Number for Contact Tracing

Update: November 23, 2020

Student personal information such as email address or phone number may be entered on the Student Profile by the Placing Agency but is normally not released to the Receiving Agency in accordance with HSPnet policies on privacy. Students with access to HSPnet may consent to the release of their email address by updating the Consent tab of their HSPnet Profile. For the purposes of contact tracing, similar functionality has been added to allow the Student to release his or her phone number to Site contacts for the placement.

In order to release a student’s phone number to the Site for contact tracing, the Placing Agency needs to ensure that:

  • Students’ primary phone numbers are entered on their Profiles
  • HSPnet access has been enabled for Students

Once this is done, the student may log into their HSPnet user account and access the Consent tab to enable the release. After students have consented, contacts for their placement who have access to their name and Profile will be able to unlock the phone number and view it. To ensure that access to the student’s phone number is consistent with HSPnet policies and used for the purpose of contact tracing, access to the student’s phone number by Site contacts will be tracked on the Student’s History for review.



Update to process for sending placement requests for programs using Automated Conflict Flagging.

Update: November 16, 2020

HSPnet provides a process for automatically flagging conflicts for programs which participate in regional coordination of placements. This tool adds a conflict icon in the Outbox and Inbox screens when multiple placement requests have one or more shifts scheduled at the same time in the Shift Schedule. In addition alerts are provided on the Welcome screen for Placing Coordinators when their placement requests are in conflict.

Placing Coordinators are responsible for resolving their conflicts in conjunction with other programs, typically as part of a regional coordination process. Conflicts should be resolved prior to the placement requests being sent to and being considered by the Receiving Agency. To this effect, the action of sending placement requests in the Outbox by the Placing Coordinator will be restricted to only requests without conflicts.

For Placing Coordinators, this means any automated conflict flag needs to be resolved prior to sending placement requests. This can be completed by accessing the Shift Schedule, adjusting the any shifts in conflict, then clicking the Check Conflicts button to remove the conflict flag. Attempting to send a placement request with a conflict will result in an error.

For Receiving Coordinators, this means that conflicts should not normally appear in the Inbox on Pending placement requests. However, due to the possibility of shift schedules being updated after a placement is sent, new conflicts may on occasion appear on placement requests in Pending or later statuses. In these cases, it remains the Placing Coordinators’ responsibility to review and resolve these conflicts.

Additional notices for Destination Coordinators using HSPnet regarding rescheduled placements

Update: August 4, 2020

Placements which have been postponed, partially cancelled, or suspended and are marked as such with a tag on-screen now display an additional explanatory note on the DC Welcome screen. This is intended to reduce confusion for Destination Coordinators who may not be aware of the significance of these tags. The notes are as follows:

POSTPONE: This placement request originally scheduled for <previous dates» was postponed and is currently scheduled for <new dates>.

PARTCANCEL: This placement request originally scheduled to end on <previous end date> was changed to end on <new end date> instead.

SUSPEND: This placement request scheduled for <original dates> is currently on hold pending review.



Updates to Destination Profiles

Update: July 21, 2020

The Typical Staffing section of the Destination Profile is now obsolete and in the process of being retired. All functionality available in this section is replaced by the use of Capacity Profiles indicating available placement capacity by placement type and discipline in the Capacity tab, and by the entry of any requirements by discipline in the Prerequisites tab. If you wish to add or update capacity information for destination, please do so in the Capacity tab. The Typical Staffing section will remain in read-only mode until any details previously entered in this section are removed or migrated to the Capacity section.

Updates to Automated Student Prerequisite Uploads, Student Placement History PDFs, and Withholding of Instructor Details

Update: July 10, 2020

The tool for Automated Student Prerequisites Uploads has been expanded to support the upload of the following prerequisite types: 

  • Orientations
  • Forms & Consent > Other Forms
  • Infection Control > Respiratory Mask
  • Status of Occupational Health Requirements
  • Site Prerequisites

These prerequisites, which are managed in the corresponding sections of the student profile, can be added or updated via the upload of data spreadsheets, using the existing process supporting upload of certifications and CRC status. Please refer to the Automated Student Prerequisites Uploads reference guide for details on how to upload these prerequisites to student records.

The Print Details tool in the Placement History section of the Student Profile has been revised to include any notes or comments entered when student actual hours are entered (when a student partially completes a placement).

It is now possible for Placing Coordinators to set restrictions on student access to instructor details and contact information prior to their placement. This tool is configured in the Contacts tab of the Course Profile and works in the same as the Withhold DC information and Withhold Preceptor information options. See the Withholding Instructor, DC, and Preceptor Contact Information guide for more details.

Reporting options for rescheduled placements (postponed/partially cancelled/suspended)

The Report on Schedule Changes available in the Inbox and Outbox is now available in the Report Wizards tab of the Report Menu. This allows placing and receiving coordinators to run reports on large sets of data at a time, and to filter the report to specific sets of parameters using the report wizard. The set of data included in the Report on Scheduled Changes consists of:

  • PR reference number
  • Placing Agency / Department / Program / Course
  • Receiving Agency / Site / Service / Destination
  • Instructor Name
  • Student Name (only available for Placing Agencies)
  • Original Start Date (prior to any postone/partially cancel/suspend action)
  • New Start Date
  • Original End Date
  • New End Date
  • Original Hours
  • New Hours
  • Missed Hours
  • Reason for postpone/partially cancel/suspend action
  • Date of postpone/partially cancel/suspend action
  • On Behalf Of / Notes / Status Set By (entered on the posptone/partially cancel/suspend action)
  • Reporting Tags on placement (Postpone/Partially Cancel/Suspend)

New options for moving placements to a different course and editing actual student hours

Updated: June 1, 2020

It is now possible for placing coordinators to transfer placements from one course to another (for instance to reassign unused spaces to students in a different course) in the Outbox. The action Move unassigned PRs to another course can be used to change the course under which a placement request appears and functions the same way as the corresponding action in the Assignment Worksheet. This new action may be submitted in placement requests in all statuses (for instance allowing the transfer of requests which are not yet accepted).

When editing the setup of courses in the Cohorts screen, if courses dates overlap different terms, it is now possible to change the term under which the course is listed.

The actual hours completed by a student (differing from the overall group hours and reflecting absences) can now be edited as hours or as shifts. This function is available either on the Student Placement History on their profile, or in mass editing mode in the Enrollment Worksheet, when reviewing Confirmed Placements.

Enhancement to Postpone action and tracking of forms on student profile

Updated: May 11, 2020

The Postpone action now defaults to resubmitting placement requests for consideration, reverting the status of the placement to Reactivated (Pending for the site). This allows the receiving agency to review the placement request based on the new schedule and redirect it to the destination and accepting in the usual manner. Please refer to the Postponing Placements guide for more information.

All forms which can be tracked on the student profile are now accessible for mass editing in the Enrollment screen.

Destination Coordinator additions for tracking changes to placements

Updated: May 1, 2020

Alerts for changes to partially cancelledpostponed, or suspended tagged placements now appear in the Destination Coordinator Welcome screen, and these status tags appear in the Destination Coordinator Inbox tab.

An option to copy multiple placements has been added to the Worksheet screens to facilitate creating new placement requests.



Notification and reporting additions for tracking changes to placements

Changes to partially cancelledpostponed, or suspended tagged placements generate alerts in the Welcome screen.

A filter in the Inbox/Outbox allows viewing only placements with specific partially cancelledpostponed, or suspended tags.

The partially cancelledpostponed, or suspended tags are listed in the Report on schedule changes available in the Inbox/Outbox, and in the Security/Access Listing Report Wizard.

Expansion of feature for tracking changes to placements

The tool to update changes on placements to track partial cancellation has been expanded to allow updating start date as when as end date to postpone placements, and to mark placements as partially cancelledpostponed, or suspended.

Addition of Placement Request Reference Number to Activity Report Wizard

The Activity Report Wizard can now report on specific placements rather than only aggregate data by including the reference number as an output option.



Addition of tool for tracking partially completed placements

Updated: March 24, 2020

A new function for updating and tracking large numbers of placements that require partial cancellation or early termination has been released.

This function available from the Outbox or Inbox allows updating multiple placement to change the end date and duration hours, along with the reason for partial cancellation.

A report of changed placements is also available, containing the list of updated placements, original and updated dates, hours, and reason for change.

New reason for cancellation and for Security/Access Listing Report Wizard

A new cancellation reason of On-Site Hazard/Event has been added to report on emergency closures. This reason has also been added to the Security/Access Listing report wizard to allow access to student details for the purpose of identifying students placement on the site who are affected by emergency closures.


Use of standard release dates on instructor-led group placements

The feature for holding sent placements for release on a standard provincially-set date is available for instructor-led groups as well as for individual placements.

What has changed? How will I be affected?

None of the functionality has changed. HSPnet still works the same and everything is in the same place. The Welcome page for PCs and RCs will be shifting slightly with the sections that you use most moving up top to reduce scrolling.

You will see that the icons have been updated. You can still place your mouse over an icon to see what it does.

Updates to functions for tracking Request Codes

Updated: October 22, 2019

Allied Health programs using request codes to tracking specific areas of practice or case types may now enter multiple request codes on each placement request.

In addition, receiving agencies accepting placements from these programs may now enter predefined codes applicable to specific disciplines on destination profiles to indicate availability of destinations offering particular areas of practice.

Update on expiry of student consent
Updated: July 22, 2019

Prior to July 22, 2019, student records in HSPnet remained visible for a housekeeping period of 180 days once expired. In accordance with HSPnet policies on consent, and to reduce confusion as to the actual date when student records will no longer be accessible due to consent expiry, this 180-day period is now removed. The process for managing student records with respect to expiry remains the same. The differences are:

There will be no immediate impact on existing student records. Student records with a consent date older than 5 1/2 years ago will maintain their original housekeeping period (180 days past six years) and display the upcoming expiry warning after 6 years. Student records with a more recent consent date will display the upcoming expiry warning after 5 1/2 years.

In the Shift Schedule, an option is offered to Update Schedule to Details. This option will update the Placement Information tab of the Placement Request Details screen to match the actual Shift Schedule entered. The reverse option, to Reset Schedule from Details, will as before erase all modification in the Shift Schedule and reset it to the default entered in the Placement Request Details screen.

**NEW** You can now update Req Met for any students that have been assigned. It does not have to be Temporary or Finalized in order to do this. This will speed up the placement process by updating this field prior to releasing the student information to the RA. Only available on the Assignment Worksheet.

Requirements Met Update - Mass updating method now available. You will now be able to update the status for an entire course of students or selected students using the Action dropdown option for Requirements Met.

HSPnet is adopting a name change: the service of Continuing Care Residential Services will be renamed to Long Term Care, effective immediately. This change recognizes the negative connotations of the word “residential” due to the tragic history of residential schools. Umbrella agencies using the Continuing Care Residential name will also be renamed to Long Term Care.

For programs using the Student Assessment Module, it is now possible to complete multiple assessments for each placement, such as an assessment of the student by the supervisor, and an assessment of the placement, site, or supervisor, by the student.

Physiotherapy programs using the Student Assessment Module to complete the Assessment of Clinical Performance can now start using an additional Student Evaluation of the Clinical Placement template. Please refer to the Managing Multiple Assessment Templates guide for more details on how to setup and start using this template.

A Student Assessment Module Results Report is now available in the Assessment tab of the Student Profile, allowing extration of all assessment results for a single student over all courses in their placement history.

Student Assessment Module Results Reports, available in the Enrollment Screen or in the Student Profile, are now generated with descriptive file names for easier reference and tracking.

Assessment ratings which are marked as optional can now be erased while entering answers, by clicking the erase icon on the right.

Additionally, the upload of prerequisites documents has been moved to the corresponding tab. All documents, links, or pre-defined HSPnet prerequisites on a destination profile are now available in the Prerequisites tab. Other documents of an informative nature can be uploaded on the Documents tab.

HSPnet is pleased to announce the soft launch of the new Knowledge Base. The Knowledge Base is a searchable online database of all the support material currently in the Help/Support section. The Knowledge Base is only accessible if you are logged into HSPnet and will open in a new browser tab.

As this is a soft launch of the Knowledge Base, we are keeping the old support files in the Resources section as we make sure there are no issues with accessibility, linking and viewing the Knowledge Base pages.

After the soft launch, the Knowledge Base will be replacing the Help/Support section. Also, we will populating HSPnet in the coming months with small light bulbs everywhere where we can have a direct link to Knowledge Base pages to assist you.

For programs granting students access to HSPnet, an option to release temporary assignments to students prior to the placement being confirmed is now available when setting up a course in the Cohorts screen.

Students who transfer from one agency to another and have multiple student records can now be tracked to their original record by their HSPnet ID. Programs adding student records can add the original HSPnet ID of the student to ensure that Receiving Agencies using the HSPnet ID for IT Provisioning purposes will identify the student as a returning student.

It is now possible to activate advanced access for students with an HSPnet user account. This access lets students upload documents on their own HSPnet student profile. Uploaded documents are placed on hold and must be reviewed by the placing coordinator, who can release them to other users of HSPnet. Student-uploaded documents are then accessible following the same rules as those uploaded by the placing coordinator. Please refer to the Reference Guide for more information, and contact the Help Desk if you have questions about this feature.

In order to communicate to receiving agencies that a student has completed all placement requirements, without releasing the specific student prerequisites being tracked on the student profile, it is possible for the placing agency to set a Requirements Met status, which will be visible to the receiving agency. Refer to the Reference Guide for more information, and contact the Help Desk if you have questions about this feature.

For programs tracking student prerequisites in HSPnet, please note that the BLS/HCP (Basic Life Support for Health Care Provider) student certification has been identified as a duplicate of the CPR-HCP (CPR - Level "Health Care Provider") one. These certifications have been merged into CPR - Level "Health Care Provider"/Basic Life Support (BLS), and any student record containing one of these prerequisites has been updated accordingly. Please contact the Help Desk if you have questions about this change.

Automated update of email-format username - HSPnet users id which are the same as the email entered on the staff profile will automatically update when the email address itself is updated. This ensures corrections or updates to the email address propagate automatically to the user id for agencies that wish to use email addresses as user ids.

Physiotherapy programs using the ACP assessment template can update to the expanded template containing an additional page for demographic information.

It is now possible to perform uploads of student prerequisite information using the Automated Student Upload tool. Prerequisites which can be uploaded and updated on student profiles include Certifications and CRC status.

For users of the Student Assessment Module, detailed reports of assessments, including ratings and comments, can now be created for a given cohort and course directly from the Enrollment screen, by clicking the Print List... button, and selecting the Student Assessment Module Results option.

Destination Maintenance

  • When a Destination Coordinator completes their mandatory eLearning topic AND they login again to HSPnet, the destinations under their responsibility will now be automatically changed to be "HSPnet User". This saves the Receiving Coordinator from having to do this manually in Destination Maintenance.

Site Profile - PC Local Administrators are now permitted to edit the Site Profile for a non-user site. This includes uploading documents or specifying prerequisites that apply to one or more disciplines (and are then inherited in Destination Profiles at the site).

Manual expiry of student consent - A new checkbox in the Student Profile allows you to manually force expiry of consent (e.g. if a student revokes consent) in addition to automatic expiry that occurs after 6 years or when the student is graduated in the Enrollment Worksheet.

Student Profile - the Cohort History page now provides an Active Cohorts listing of all cohorts with tallies of courses in which the student is Enrolled, Assigned, or Unassigned. When using the Quick Entry Screen, if the Receiving Coordinator has obtained student consent and is confident that the student has been placed at the agency before, it's now possible to reactivate the previous student record by entering their HSPnet ID number. This feature is especially useful for agenices that use the HSPnet ID to manage computer access by students, so that a previous computer account can be reactivated instead of creating a new account each time.

The National Alliance has recently approved a set of policy changes, including one to permit disclosure of student gender for the purpose of assigning lockers or change rooms. Please visit the public website to view the revised policies. If the educational program is tracking student gender in HSPnet, the gender would be included in the following reporting wizards:

  1. Placement Listing - Students/Instructors - this report is for internal use only, and can be used by educational programs for assigning students to placements, for example.
  2. Security/Access Listing - this report is available to Receiving Coordinators only and will include a column for student gender if they specify the intended use is for locker assignment.

While this policy change doesn't affect the student consent form, educational programs should download the updated consent handout that refers to locker assignment (from your Program Profile) when distributing consent forms in future.

Student Profile - The Documents tab now accommodates unlimited uploads, categorized as either Shared Documents that are visible to receiving sites when a student is assigned, or as Internal Documents that are visible within the educational program only.

Location Lookup - a new checkbox allows you to extend your search to include the Address fields, for example to search for locations on a specific street.

Agency Profile - This new screen allows RA users to upload documents or to define prerequisites that apply to some or all sites in the agency. Documents/prerequisites can be limited to certain disciplines or made available for placements in all disciplines, and can be "applied" to some or all Sites and Destinations. If a document/prerequisite is applied to a Site, it is automatically inherited into the Site Profile and applicable Destination Profiles.

Site Profile - This screen can now accommodate an unlimited number of document uploads, and each can be allocated to all, one, or multiple disciplines. Each file has a full Document Name, in addition to a document Type (e.g. "Site Profile") and an optional Comment. For documents that were uploaded previously, the document Type has been temporarily entered as the Document Name.

Student Profile - When editing the Prerequisites tab --> Forms & Consent, the Agency/Dept dropdown in the "Other Forms" table now includes the option of "Provincial Form". You can use this option to track forms that are adopted by multiple health authorities in your province. Note that a provincial form is visible to Receiving Agencies when they view the student profile (for confirmed assignments).

Enrollment Worksheet - A new screen mode is available to permit mass update of a form for "Patient/Client Confidentiality", either an agency-specific form or a Provincial Form (see above).

Cohort Maintenance - A new checkbox offers the option to broadcast an email to all supervisors who are assigned to an accepted/confirmed placement, based on one of your templates from the Correspondence module. For example, you can schedule a reminder email to be sent one week before the start date, or a thank you message to be sent when the placement ends. Refer to the new Quick Reference Guide for more information.

Report Queue - The phone icon (yellow or gray) is now displayed next to the email icon for each default recipient.
